Job Summary

The Program Specialist is supervised by the divisional Academic Dean located on the same respective campus. The responsibilities of this position relate to day and evening programs, with primary support for all faculty.

Essential Functions

Supports Division Dean/Associate Dean/Campus Instructional Coordinator

· Assists Instructional Coordinator with the recruitment and recommendations of campus adjunct faculty each semester and communicates with the appropriate Dean/Associate Dean;

· Assists Instructional Coordinator with a general orientation for new adjunct faculty

· Assists Dean and/or Associate Dean with specific division reports as requested (Degree Works, Knowledge Management System, Banner etc...)

Scheduling/Banner Reporting

· Coordinates the development of the class schedule by campus/division to include dual enrollment each semester with final approval of each divisional schedule provided by the respective Academic Dean; creates semester campus schedule in Banner;

· Enters no-shows in Banner for adjunct faculty and checks for entry of grades at the end of the semester.

General Support of Campus

·Post current classroom schedules each semester; post current campus communication on bulletin boards and throughout campus.

·Assists instructors with administrative tasks when asked

·Assists students as needed in support of the advisement/registration process;

(40%)

 

·Demonstrates a willingness to be of service and assists students, coworkers and the general public with questions, concerns, and processes in a pleasant and professional manner;

·Works closely with security to maintain a safe and secure environment that is conducive to learning;

·Assists with the day-to-day needs of assigned school

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment and technologies.

 

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 25 pounds.

Position Type/Expected Hours of Work

This is a full-time administrative position. Work load is Monday-Friday with possible evenings or weekends based on needs.

Travel

Travel to other campuses is a possibility for meetings, trainings, professional development, etc.…

 

Required Education and Experience

  • Associate’s degree required in a course of study related to the occupational field

                        *and*

          Three (3) years of related work experience

Note: Experience may substitute for the degree on a year-for-year basis.

 

Preferred Education and Experience

  • Bachelor’s Degree
  • Experience in post-secondary education environment
  • Two years of experience performing advanced level administrative support to an agency
  • Experience in personnel, accounting, and/or purchasing
  • Excellent knowledge and experience in the use of the Internet, Email, Windows, Microsoft Office
  • Completion of formal training program from an accredited institution in the area of business or office management
  • Experience working with special projects, customer service, data entry, budgeting, and records management
  • Banner knowledge
